What an AI automation agency does
Its work goes far beyond installing a tool. A good artificial intelligence automation agency covers the whole cycle:
- Process assessment. It understands how your team works, measures how much time goes into each task and identifies what can be automated.
- Solution design. It decides which tools to connect, where AI adds value and how to measure the result.
- Build and integration. It develops the workflows and AI agents and connects them to your CRM, your email, your invoicing software or your online store.
- Launch and training. It switches the automations on, trains the team and leaves documentation.
- Maintenance and improvement. It makes sure everything works, fixes incidents and expands whatever delivers results.
Traditional automation versus AI automation
Traditional automation follows fixed rules: "if a form comes in, create a contact in the CRM". It is very useful, but it gets stuck when information doesn’t arrive neatly organised. Artificial intelligence adds the ability to understand text, documents and images and to make simple decisions.
| Traditional automation | AI automation | |
|---|---|---|
| Data it handles | Structured (fields, tables) | Also emails, PDFs, audio and free-text messages |
| Decisions | Fixed rules | Classifies, summarises, prioritises and drafts |
| Example | Copying a form into the CRM | Reading the message, identifying the need, scoring the lead and replying |
Which processes it can automate
The most common ones in companies and SMEs are lead generation and follow-up, customer service, invoicing, email management, document generation and reporting. We go through them one by one in our guide to processes you can automate with AI.
How much it costs to hire an AI automation agency
The price depends on the number of processes, the tools that need connecting and how complex the AI is. As a guide, in the Spanish market a simple automation can cost a few hundred euros and a complete project with several processes, AI agents and training, several thousand. On top of that come the monthly tool costs and, if you take it, maintenance.
More than the price, it’s worth looking at the return: how many hours a month you’ll win back and what they’re worth. An automation that saves one person 20 hours a month usually pays for itself within a few months.
How to choose the right agency: 7 questions to ask
- Do you start with an assessment of my processes, or go straight to a tools proposal?
- How will you measure the time saved or the increase in sales?
- Which accounts will the automations and data live in? Are they mine?
- Which tools do you use, and why those for my case?
- How do you comply with the GDPR and the EU AI Act?
- Who maintains the workflows when a tool changes or fails?
- Is there a minimum contract? What happens if I want to change provider?
If you want to see how we answer each one, take a look at our working method or ask us for an assessment.
When it makes sense to hire one
It’s a good time when your team spends many hours on repetitive tasks, when your customer volume is growing faster than your capacity to serve them, when you lose opportunities by replying late or when information is spread across tools that don’t talk to each other.
